How to Manually Change the Cost of an Order
Updated October 3, 2026
When one order cost differently than Profitario calculated, for example because the supplier invoice shows another amount, you can set the cost of that order by hand. Your amount applies to this order only and wins over every other cost.
- Where
- In the sidebar, open Orders, click the order, then the menu (⋮) > Edit costs.
- Who
- Owners, admins and members. Viewers can only look.
- Time
- 1 minute per order.
- Updates
- The order's profit is recalculated as soon as you click Save.
Set the cost of one order#
In the sidebar, open Orders and click the order. Search by order number to find it quickly.

Each column is the total of that cost type for the whole order, not a cost per unit:
| Column | What your amount replaces |
|---|---|
| Product Cost | The product cost (COGS) of all items in the order together. |
| Shipping | The shipping cost of the order. |
| Handling | The handling cost of all items together. |
| Txn Fee | The payment fee of the order. |
| Tax | The tax expense of the order. |
Example. Order #11545 contains 2 bath towels. AliExpress reported $12.40 for them, but your supplier invoice shows $7.50 per towel. Type 15.00 into Product Cost: 2 × $7.50 = $15.00. The order's profit drops by $15.00 − $12.40 = $2.60.
Several orders at once. Tick the orders in the list and click Edit costs in the bar that appears. The dialog then has one row per order. For many orders, use Edit many orders in a spreadsheet… at the bottom of the dialog.
What happens next#
The cost you entered wins over the product cost, supplier costs and rules of this order. It stays in place when you change the cost on the Product Costs page, when a supplier order is matched later, and when you use Resync costs. Other orders of the same product are not affected.

The Costs tab shows your amount as Manually overridden and In effect, with the costs it replaced listed below as not applied. See Which Product Cost Applies to an Order.
Undo a change#
Open Edit costs for the order again. A cost you set by hand is filled in; calculated costs stay grey.

After the undo, the order uses the next cost in line again: a supplier cost if there is one, otherwise your product cost.
