How Product Costs Work
Updated October 3, 2026
A product cost is what you pay for one unit of an item you sell. Profitario deducts it from every order, so your profit is only right once your products have costs. This article explains the Product Costs page and the four ways to get costs into Profitario. The guides below cover each task in detail.
- Where
- In the sidebar, open Product Costs.
- Who
- Every store. Without product costs, every profit number is too high.
- Updates
- After you save a cost, the orders that contain the product are recalculated in the background. Large stores take minutes.

What is on the Product Costs page#

A product row holds the cost for all its variants. Click the arrow in front of a product to see and edit each variant. Bundle costs on the right opens the list of bundles: one combined cost for products that are bought together in one order.
What the Source badges mean#
The Source column shows where the cost in a row comes from. Hover a badge in the app to see the same explanation. A row can show more than one badge, for example a typed cost next to a Shopify cost that is available but not used.
| Badge | Source | Where the cost comes from |
|---|---|---|
| Entered by you | You typed the cost on this page. | |
| Shopify (in use) | The "Cost per item" from Shopify, synced and in use. See Sync Product Costs with Shopify. | |
| Shopify (available) | Shopify has a cost for this item, but another cost is in use. On a variant row, hover the badge and click it to use the Shopify cost. | |
CSV | CSV | Imported from a CSV or Excel file. See Import Product Costs from a CSV or Excel File. |
30 | Margin rule | An estimate: a percentage of the selling price, here 30%. See Estimate Product Costs with a Margin Rule. |
A row without a badge has no cost yet. Costs from a supplier integration do not show here: they are set on each order, see Sync Product Costs from Your Supplier.
Four ways to get your costs in#
Pick the way that matches how you buy. You can combine them: type costs for some products, sync others from Shopify, connect a supplier and keep a margin rule for the rest.
| Way | Fits when | Guide |
|---|---|---|
| Enter costs in Profitario | You know your costs and want to type them, or upload a file | How to Add Product Costs, Import Product Costs from a CSV or Excel File |
| Cost per item from Shopify | You keep a "Cost per item" on your variants in Shopify | Sync Product Costs with Shopify |
| Sync from your supplier | A supplier fulfils your orders and bills you per order | Sync Product Costs from Your Supplier |
| Estimate with a margin rule | You do not have your costs at hand yet | Estimate Product Costs with a Margin Rule |
Costs you enter on the Product Costs page apply to all orders of the product, past and future. If a cost changed at some point, record the old and the new cost with their dates: see How to Add Cost Changes Over Time (Price Changes).
Check the costs of an order#
To see whether a cost you saved is used, open an order that contains the product. In the sidebar, open Orders and click the order. The order details open on the right.

If an item shows no cost, or another cost than the one on the Product Costs page, see Which Product Cost Applies to an Order. Recently saved costs show up once the recalculation in the background has finished.
Limits#
- The dashboard and the reports do not separate estimated costs from real ones. Estimates are only marked on the Product Costs page and in the order details.
- Product costs are stored in the currency of your store and are not converted from another currency.
