Sync Product Costs with Shopify
Updated October 3, 2026
Shopify lets you store a "Cost per item" on every variant, in the pricing section of the product. Profitario can use these values as your product costs, so you keep your costs in one place. This guide covers the sync settings and the Shopify badges on the Product Costs page.
- Where
- In the sidebar, open Product Costs, then click Cost sync above the table.
- Who
- Stores that keep a "Cost per item" on their variants in Shopify.
- Time
- A minute to choose the settings.
- Updates
- Applying Shopify costs recalculates the affected orders in the background. With New orders only, past orders stay.
When you install Profitario, it reads the "Cost per item" of every variant once and uses it for all your orders. The settings below decide what happens when you change a cost in Shopify later.
The Cost Sync Settings#
Click Cost sync above the table to open Shopify cost settings.

Settings are saved as soon as you change them.
Costs you typed on the Product Costs page or imported from a file are never replaced by a Shopify cost, neither by auto-sync nor by Apply latest Shopify costs. A margin rule only fills variants that have no Shopify cost.
Example: New orders only or All orders
Auto-sync is on. Your candle had a "Cost per item" of $4.20 in Shopify. On October 1 you change it to $4.75.
| Order | New orders only | All orders |
|---|---|---|
| Placed on September 20 | $4.20 | $4.75 |
| Placed on October 5 | $4.75 | $4.75 |
| Reports for September | Do not change | Recalculated |
Choose New orders only when your supplier price really changed and your history should show what you paid then. Choose All orders when Shopify holds your one current cost and every order should use it.
What the Shopify Badges Mean#
The Source column shows where a cost comes from. Two Shopify badges tell you whether the Shopify cost is used.

Example. You typed 14.20 for the Ceramic Pour-Over Coffee Set, and its "Cost per item" in Shopify is 16.80. An order with 2 sets has a product cost of 2 × 14.20 = $28.40. After you use the Shopify cost, the same order has 2 × 16.80 = $33.60.
On an order, a cost from Shopify shows as Product cost from Shopify in the Costs tab, see How Product Costs Work.
Remove All Shopify Costs#
In Shopify cost settings, click Remove all Shopify costs, type remove and click Remove. Every cost that came from Shopify is deleted, including older values. Costs you typed or imported are kept, and the affected orders are recalculated.
This cannot be undone. A variant whose only cost came from Shopify has no cost afterwards, so its profit is too high until you add one. With auto-sync on, the next change in Shopify brings that variant's cost back.
Limits#
- Shopify costs are in your store's currency and are not converted.
- Shopify costs apply to the Default zone. Zones without their own cost use it. On a zone tab, using a Shopify value on a variant saves it as your own cost for that zone. See How to Add Country-Specific Costs (Cost Zones).
- A Shopify cost counts as your own product cost. A matched supplier order wins over it, see Sync Product Costs from Your Supplier.
