Sync Product Costs from Your Supplier

With a supplier integration, Profitario does not use a fixed cost per product. It imports your orders from the supplier with the amount the supplier charged you, and uses that amount as the cost of the matching Shopify order. Your costs then follow the supplier's price changes, discounts and shipping surcharges without any upkeep.

What Gets Matched#

Every imported supplier order is linked to the Shopify order it was bought for.

To check, open Suppliers in the sidebar, open the supplier and then Orders: each order is labelled Matched or Unmatched. For AliExpress orders that stay unmatched, see Why Is the AliExpress Cost Missing on an Order?.

What a Matched Order Changes#

A supplier cost exists per order, not per product. Once a supplier order is matched, it replaces your own costs on that one Shopify order:

  • Product cost. What the supplier charged for the items replaces the cost from the Product Costs page, whether you typed it, imported it or synced it from Shopify.
  • Shipping. When the supplier reports a shipping cost, it replaces your shipping rule for that order.
  • Import VAT. When the supplier charged VAT, it is used as the order's import VAT.

Amounts in another currency are converted to your store's currency at the rate of the order date. Supplier orders that were cancelled never count as a cost.

To see this on an order, open Orders in the sidebar, click the order and open the Costs tab.

What a Matched Order Changes

Example

An order of one Merino Wool Blanket. On the Product Costs page the blanket has a cost of $38.00, and your shipping rule charges $8.90 per order. AliExpress charges you $36.50 for the blanket and $6.80 for shipping.

The order's profit rises by $3.60 once the real amounts are in. Handling from the Product Costs page ($1.80 for the blanket) is not part of the supplier cost and still applies.

Before the Supplier Order Arrives#

A new order that you have not placed with the supplier yet, or an AliExpress order without a tracking number in Shopify, has no supplier cost. Until it is matched:

  • If the variant has a cost on the Product Costs page, that cost is used.
  • If it has none, the order has no product cost and its profit is too high.

A matched supplier cost wins over your own costs. Only a cost you set on the order itself wins over both: see How to Manually Change the Cost of an Order and Which Product Cost Applies to an Order.

Limits#

  • Printful, AutoDS and the suppliers marked Beta cannot be connected yet.
  • A supplier cost exists per order. Orders without a matched supplier order fall back to your own product costs, or have no cost.
  • Supplier costs do not appear on the Product Costs page. They show on each order, in its Costs tab.
  • There is no setting that lets your own product costs win over a supplier cost for all orders.
